Role summary

To assume the responsibility under minimal supervision to monitor day to day administrative and personnel services to meet internal HR policies requirements and support HR and Admin operations.
To provide appropriate administrative / clerical support
Primary Responsibilities

Work closely with the Manager- HR/Admin and HR Section to coordinate efforts towards meeting deadlines and clarifying priorities.
Provide all administration, logistics and executive day to day operational support
Follow up visa processing for new joiners, and coordinate with HR section to arrange airport transportation, Hotel reservation if any.
Follow up new QID processing with the PRO (Medical fitness, finger print.etc.) and Keep records of personnel for visas, labor cards, and other important documents.
Monitor and manage company vehicles maintenance and repair (Routine maintenance, processing repair request, or maintenance request, coordinate with the conventional garage for best practice and respect of deadlines,
Responsible in ensuring that the standards, processed and tools for vehicle policy as defined by the company are in place and maintained.
Keep records keeping of all vehicle maintenance and submitted to the Management upon request. Consolidate and maintain database off all vehicles.
Monitor and manage labor camp, and executive accommodation, ensure that the accommodation should be carried out in line with the company policy.
Carry out regular inspections of the Labor camp, accommodation in order to ensure that cleaning and maintenance work have been carried out in accordance with company procedures.
Fill and keep record of administrative forms of any labor camp maintenance works, furniture purchasing in accordance with the Company rules.
Process with PRO for all applications for employment visa, business visa, residence visa, exit visa or driving license.
Follow up all pertinent documents in reference to the criteria of immigration office, ministry of labor, government offices, ministry of foreign affairs in compliance with the laws and regulations.
Establish internal administrative systems and controls
To carry out any other reasonable duties and responsibilities within the overall function.
Required qualifications/Education

Bachelor’s Degree in HR, Administration, Management
Experienced - minimum 4 years of local job-related experience required
Must have NOC,
Must have working knowledge of local legislation and government policies and procedures.
Excellent English verbal and written communication, Arabic is an advantage
Interpersonal, organizational and time management skills with a proactive and flexible can do attitude and approach to work, hours and location. Must be able to work and perform under own initiative and have a full working knowledge of procedures. Attentive to detail, must demonstrate proven ability, knowledge and experience to interact readily across different departments within a multi-cultural and multi-functional environment.

This position is responsible for the coordination & scheduling of all functions pertaining to visitors, pre-employments, orientation, benefits and payroll for all personnel affiliated with northwestern university in Qatar. This position serves as back-up to the benefits specialist. Additionally this position is responsible for administrative office duties.

Specific Responsibilities:

Coordination of the scheduling and booking of visitors, pre-employment visits, post-arrival orientation, immigration appointments, and visa processing

Minimum Qualifications:

Associate’s degree or equivalent combination of training and experience.
Three or more years of related experience.
Extensive knowledge of US and Qatari culture.
Working knowledge of office administration.

Excellent verbal and written communication skills; organizational and planning skills, including ability to prioritize work, handle multiple tasks simultaneously, set goals and enforce deadlines, while maintaining flexibility to reassess and prioritize goals; ability to function competently in a team environment; ability to take initiative, reasoning and problem solving skills; ability to interact effectively with NU-Q campus communities including Qatar Foundation and external customers in a multi-cultural setting.
Preferred Qualifications: (Education and experience)

Bachelor’s degree or equivalent combination of training and experience.
Orientation and immigration experience in an expatriate business setting.
International expatriate experience.
Existing State of Qatar resident.
Preferred Competencies: (Skills, knowledge, and abilities)

Working knowledge of immigration/visa processes
